JOB SUMMARY


The Administrative Assistant reports to the Director of Strategic Partnership and is responsible for scheduling appointments, creating agendas, preparing reports, generating, and disseminating minutes. Additionally, this role organizes and maintains paper and electronic files, documents processes, and provides other administrative support as requested. Follows established guidelines.

 

ESSENTIAL DUTIES & RESPONSIBILITIES


  • Assist in the execution of SP management to help ensure that deadlines are met, and work is completed.
  • Initiate and/or conduct internal and external follow up on various tasks.
  • Schedule and coordinate internal Bank meetings as well as meetings with Bank SPs.
  • Research for and prepare agendas for weekly or monthly partner calls.
  • Compose and distribute meeting notes and related documents.
  • Set up and manage paper or electronic filing systems, record information, update paperwork, or maintain documents.
  • Generate correspondence, reports, and other documents when appropriate.
  • Generate memos, emails, and reports when appropriate.
  • Internal and external follow-up on various tasks.
  • Assist with documentation of external and internal processes.
  • Collaborate with Compliance and Program Management teams to identify complaint trends and escalate concerns as necessary to assess compliance impact and regulatory risk.
  • Ability to handle a fast-paced environment with minimum supervision and successfully meet established project deadline requirements.
  • Assist Strategic Partner Managers with the preparation of reports related to risk management for review by multiple stakeholders within the Bank.
  • Assist Compliance Managers with the preparation of reports related to compliance oversight of Strategic Partners for review by multiple stakeholders within the Bank.
  • Collaborate with Compliance and Program Management teams to identify complaint trends and escalate concerns as necessary to assess compliance impact and regulatory risk.
  • Collaborate with Strategic Partners in root cause analysis activities for issues identified through customer complaints and identifying solutions to mitigate future issues.
  • Ability to respond quickly and effectively to feedback and improve processes.
  • Pull copies of reports, documents as needed.
  • Contribute to project or teamwork.
  • Other tasks as assigned based on business needs.


KNOWLEDGE/SKILLS/ABILITIES

  • Must have knowledge of administrative and clerical procedures and systems such as: word processing, managing files and records, taking and transcribing minutes, scheduling and coordinating meetings, and other office procedures and terminology
  • Must have active listening skills.
  • Skill in coordinating with others.
  • Must have the ability to communicate clearly, both orally and in writing.
  • Ability to order information according to specific set of rules or standards.
  • Job requires strong skills in attention to detail.
  • Ability to thoroughly complete work tasks.



CREDENTIALS/EDUCATION/EXPERIENCE:

 

  • High School Diploma, GED, or equivalent
  • Ability to compose clear, well thought out messages for internal and external use
  • Basic to moderate Microsoft Office proficiency, specifically, Word, Excel, PowerPoint, and Outlook
